Resources Coordinator and Administrator

BiD Masters, a division of Ad Astra (UK) Ltd, provides specialist support to companies bidding to win major contracts. In addition to employees, the team consists of various freelance associates and sub-contractors. The role of the Coordinator and Administrator is as follows:

Team Focus

  • Maintain the database of team members’ skills, clearances, deployment and availability
  • Provide administrative support to deployed team members
  • Ensure the number of available team members is adequate to meet the overall need
  • Ensure all team members are suitably trained, particularly in the REWARD® methodology
  • Ensure all team members are kept up-to-date with BiD Masters news
  • Ensure associates’ timesheets are accurately completed in a timely manner
  • Arrange team coordination meetings

Client Focus

  • Maintain the database of clients’ contracts and requirements
  • Provide marketing and sales support to the division
  • Preparation of client quotes and invoices

Additional duties

  • Prepare routine newsletters
  • Edit and proof read documents

The ideal candidate will be a people person who is extremely organised with excellent attention to detail. They will have experience in the following areas:

  • HR Coordination
  • Resourcing
  • Managing contractors
  • Bid preparation

The following additional skills would be beneficial:

  • Excellent written skills
  • Detailed knowledge of Microsoft Word
